Have you posted a job offer in your company on the job portal and your CVs are just pouring in now? That’s great news. In the following days, you will carefully sort your CVs for those whose authors you want to invite to a job interview and those you do not consider suitable candidates. But you should write off to everyone. Why?
Among the candidates, even if unsuitable for the position, are people who really care about your job offer. They will wait a few days, maybe weeks for your answer. If you do not anticipate them in the selection process, write them a brief message stating that they have not been selected for the next recruitment process. They can look with a whole heart for other offers and continue to consider you a decent employer. For example, the message might look like this:
“Good day,
Thank you for your CV and interest in working in our company.
Unfortunately, we must inform you that we have selected candidates for the selection process whose experience corresponds more precisely to the requirements of the advertised position. Even so, we appreciate your interest and with your consent, we will keep your CV for the possibility of working in the future.

You can then send a similar message in a blind copy to all candidates who have applied for the position. It will take you a few minutes and at the same time bring several benefits. First, if you open new positions in the future, you can first look at the CVs of candidates who have applied to you before and try to contact them.
Secondly, in their eyes, you will act as a decent company, showing them that you value their interest. Maybe their friends or family will consider working for you later. You don’t want anyone to talk to them and say about you that you “didn’t even answer”. Applicants care about their CVs and cover letters, so it’s polite at least their polite thanks to their efforts. Companies that match all interested parties excel among others. If the selection procedure has already taken place, it is also appropriate to write a final decision to all candidates, including those who have not been selected.
You save their time while waiting for the verdict and thus show them respect for participating in the tender. You never know if the finally selected candidate will “complete” the probationary period and you will not have to look for someone else in the position. Therefore, value all the candidates, even those who were not as successful as the best candidate, and always write them off.
